TERMS AND CONDITIONS 23rd INTERNATIONAL CONGRESS OF AESTHETIC AND ANTI-AGING MEDICINE September 26–28, 2025 | Warsaw
GENERAL PROVISIONS
This document constitutes the Terms and Conditions of the “23rd International Congress of Aesthetic and Anti-Aging Medicine,” held from September 26–28, 2025, in Warsaw, hereinafter referred to as the Congress.
Definitions:
Organizer: Polish Society of Aesthetic and Anti-Aging Medicine PTL, based in Warsaw, ul. Grzybowska 80/82/700, NIP 7010236972, REGON 142421711, KRS 0000357150
Organizing Office: Pharma Medical House Sp. z o.o., based in Warsaw, ul. Pod Lipą 4/U6, NIP 5213756285, REGON 365901683, KRS 0000648227
Data Controller: Polish Society of Aesthetic and Anti-Aging Medicine PTL
Participant: a medical doctor or dentist with a valid medical license (PWZ) who registers for the Congress via the online form at www.kongres-ptmeiaa.pl
Participation Confirmation: a communication sent by the Organizer in response to the online registration
PARTICIPATION IN THE CONGRESS
Participation is subject to payment. It requires registration through the online form and payment. Only registered individuals confirmed by the Organizer are eligible. Participants or their representatives will receive confirmation via the email provided. Completing the form is equivalent to entering into an agreement with the Organizer and accepting these Terms. It also obligates the Participant to comply with regulations and agreements and to pay for the selected package.
Completing the form also implies consent to share the email address with third parties cooperating with the Organizer for purposes such as accommodation, catering, confirmations, and app access. Access to company sessions and pharmaceutical exhibits is restricted to individuals authorized to receive advertising of prescription medications. By registering, the Participant consents to the free use of their image in training and promotional materials related to the Congress. Participants must provide accurate information. The Organizer is not liable for incorrect data and may remove inaccurate registrations without refund. Participants must wear their ID badges visibly at all times. Sharing the badge is prohibited and may result in removal from the event. The Organizer reserves the right to close registration early if capacity is reached and to make changes to the program, terms, or date of the Congress. If the Congress is canceled, Participants will be notified by email at least 7 days prior. To receive a Certificate of Attendance, Participants must complete a post-event evaluation survey (sent via email).
FEES
Fee details are published on the Congress website. Payments may be made via traditional bank transfer or online via the payment operator listed. Failure to pay on time may result in cancellation. After payment, a VAT invoice will be issued based on the registration form.
CANCELLATION AND COMPLAINTS
Cancellations must be submitted by email to ptmeiaa@kongres-ptmeiaa.pl. The date of the cancellation is when the email is received. The Organizer will confirm cancellations via email only. Refund policy:
Until July 10, 2025: free cancellation
After July 10, 2025: 50% refund
After August 10, 2025: no refunds Failure to cancel and not attending does not exempt from payment. Complaints must be submitted in writing (by registered mail) within 7 days of the end of the Congress. Late complaints will not be considered. Complaints must include the Participant’s name, address, and justification. Decisions made by the Organizer are final.
DATA PROTECTION
The data controller is the Polish Society of Aesthetic and Anti-Aging Medicine PTL. Contact for data matters: ptmeiaa@kongres-ptmeiaa.pl Participants have the right to access, correct, and request deletion of their data. Data may be denied deletion if needed for claims or legal obligations. The basis for data processing is consent and the necessity of processing for service delivery. Personal data collected includes: name, email, phone, address, license number, invoicing details. Data is confidential and only used for Congress organization purposes. Data may be shared with cooperating entities: accounting, office, IT, app providers, transportation, lodging, and catering services. Participants can withdraw consent at any time, but this will prevent participation. Participants may file a complaint with the supervisory authority if their rights are violated.
FINAL PROVISIONS
Participants are required to read these Terms. The Organizer reserves the right to cancel, reschedule, or change the format of the Congress due to unforeseen circumstances. Any issues not covered are governed by the Civil Code. Changes to the Terms will be communicated via email and published on the website. Participants must respond within 7 days if they do not accept changes. By registering, the Participant or their representative consents to the use of their image in promotional and training materials related to the Congress. The Congress is a private event and not a mass event under Polish law. Wearing the registration badge is mandatory. The Organizer is not responsible for lost, damaged, or stolen items. Participants are liable for damages caused during the Congress or in accommodation facilities. The Organizer reserves the right to amend these Terms. Participants will be informed by email. Changes take effect 7 days after publication on the website. These Terms are effective upon their publication on the Congress website.
