Privacy Policy
1. General Provisions
1.1. This Privacy Policy defines the rules for the processing and protection of personal data of Users using the website dedicated to the 23rd International Congress of Aesthetic Medicine and Anti-Aging, which will take place on September 26–28, 2025.
1.2. The Controller of personal data is Polish Society of Aesthetic Medicine and Anti-Aging with its registered office in Warsaw (address: ul. Grzybowska 80/82/700, 00-844 Warsaw), entered into the National Court Register under the number KRS: 0000357150, NIP (Tax ID): 7010236972, REGON: 142421711.
1.3. Personal data are processed in accordance with applicable law, including Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR) of 27 April 2016.
2. Scope and Purpose of Data Collection
2.1. Users’ personal data are collected for the following purposes:
- registration and management of participation in the Congress,
- processing of payments (if applicable),
- issuance of participation certificates,
- communication regarding organizational and informational matters related to the Congress,
- sending promotional and marketing information (with the User’s consent).
2.2. The following data may be processed: first name, last name, email address, phone number, professional data, invoicing details, and other data voluntarily provided by the User in contact or registration forms.
3. Legal Basis for Data Processing
3.1. Personal data are processed on the basis of:
- Article 6(1)(b) GDPR – necessity for the performance of a contract (participation in the event),
- Article 6(1)(c) GDPR – legal obligation (e.g., issuing an invoice),
- Article 6(1)(a) GDPR – consent of the data subject (e.g., marketing consent),
- Article 6(1)(f) GDPR – legitimate interest of the Controller (e.g., securing claims).
4. Data Sharing
4.1. Personal data may be shared only with entities cooperating with the Polish Society of Aesthetic Medicine and Anti-Aging in the scope of services necessary for the organization of the event, in particular IT companies, payment operators, accounting firms, and technology partners.
4.2. Data will not be transferred outside the European Economic Area (EEA), unless necessary and provided that an adequate level of data protection is ensured.
5. Data Retention Period
5.1. Personal data will be stored for the period necessary to achieve the purposes of processing, i.e.:
- for the time necessary to carry out the event and fulfill accounting and tax obligations,
- until consent is withdrawn in the case of processing based on consent,
- for the period of pursuing claims (maximum 6 years after the end of the event).
6. Rights of Data Subjects
6.1. The User has the right to:
- access their personal data,
- rectify, delete, or restrict the processing of their data,
- object to the processing of their data,
- data portability,
- withdraw consent at any time (without affecting the lawfulness of processing based on consent before its withdrawal),
- lodge a complaint with the President of the Personal Data Protection Office (Poland).
7. Cookies
7.1. The website may use cookies for statistical, functional, and marketing purposes.
7.2. The User may change their browser settings regarding cookies at any time or disable them completely.
8. Data Security
8.1. The Polish Society of Aesthetic Medicine and Anti-Aging applies appropriate technical and organizational measures to protect personal data against loss, unauthorized access, alteration, or disclosure.
